Administrative Assistants perform a wide range of duties including some or all of the following Reception Answer general phone inquiries using a professional and courteous manner Reply to general information requests with the accurate information Greet visitors to the organization in a professional and friendly mannerOffice administration Use computer word processing and spreadsheets to prepare reports, memos, and documents Sort incoming mail, faxes, and courier deliveries for distribution Prepare and send outgoing faxes, mail, and courier parcels Purchase, receive and store the office supplies ensuring that basic supplies are always available Provide secretarial and administrative support to management and other staff Assists in Recruitment, Onboarding and Employee Engagement Activities Make travel, meeting and other arrangements for staff Coordinate the maintenance of office equipment Maintain asset tracker for all the organization equipment s Assists with event management, organizing meetings, conferences. Assist in cab/transport bookings for official purposes Assist in Official lunch/dinner arrangements Manage shipments from partner sites (USA, Europe, UK, China) by coordinating with required stakeholders Acts as counterpart for Administrative assistant at Fluke Global offices Resolves administrative problems by coordinating preparation of reports, analyzing data, and identifying solutions Use computer software to prepare invoices and financial statements Code and file financial material according to established records management procedures Process accounts payable ensuring timeliness and accuracy of information Administer petty cash according to established procedures Assist with financial reports as required Assists with procurements related activities Assist employees in finance claims Provide support to Senior Management With the Senior Management, prepare meeting agendas and supporting material for distribution Support the Senior Management with meetings, travel and other arrangements Draft minutes of key meetings and distribute Personal Requirements Able to work methodically, accurately and neatly Good oral and written communication skills Able to work as part of a team Neat personal appearance. Sensitivity to confidential matters is required.Qualifications Qualifications Any Graduate Education in business, computers, or office management is an asset Reporting Skills, Administrative Writing Skills, Microsoft Office Skills, Managing Processes Knowledge of office administration and bookkeeping procedures Time management skills Ability to speak English and local language Be honest and trustworthy Be respectful Be flexible Strong sense of urgency and problem solving skills
