Our client, an international manufacturing firm is urgently seeking to recruit an Executive AssistantDuties and Responsibilities Managing all administrative areas within the Middle East Region andcoordinating between all Departmentsand regional Local staff. Providing smooth flow of work, administrative know-how, and clearcommunication coordination information between the differentgeographical and functional area. (Which lie in the scope of ConsumerHealth Middle East's responsibilities)Major tasks and responsibilities Performing all necessary daily coordination at differentorganizational levels between the head of division and the variousdepartments andor countries in the Middle East (BP BPH BME CPL). Managing all administrative communicational aspects of work andmaintaining flow of information to all related departments andcountries and administrative staff on a daily and monthly basis (BCH CPL BME). Management of Meetings and Committees ( Preparation and Execution )Handling all preparatory phases prior to Management Meetings, headed orcalled by the Head of Consumer Health of the Middle East inside andoutside country of residence including preparation of Participantslists Agendas Templates Venue related Logistics and Activitiesand Minutes of Meeting according to need.Document Management To manage all the Head of Consumer Health Middle East Office' incomingand outgoing Documents, in addition to all external incomingcorrespondence.This includes 3 years Filing System Management Documents retrieving and channeling to different departments and orsites. Distribution and Circulation of general Company Information of common interest to direct reporting Management Staff (reporting to Head of Consumer Health Middle East )Problem Solving Handling Handling all External and Internal communication within the ManagingDirectors' Office including solving staff and customers problems,complaints, inquiries and questions and taking immediate action ordirecting them to resolve pending or unclear issues, before escalatingthem to the Managing Director.Head of Consumer Health - Personal Assistance Handling all personal issues and matters related to the ManagingDirector, including his own travel schedules, appointments, businessneeds ( Ticketing Accommodation etc. ), as well as his own Visitorsand VIP's.Supporting Head of Consumer Health in different travel arrangementincluding Calendar with meeting with different stakeholdersConsolidate different reports received from all Sub-regions and Headquarter

Requirements

Qualifications (Education, skills, experiences and personal characteristics necessary for success in this position) High Bachelor Degree High University Degree Previous working experience at multinational companies in the sameposition or a close position. Having at least a minimum of 7 years experience in this field. Having previous knowledge in tour-operations andor travelmanagement is an asset. Received different Business related Training Courses e.g. Matrix Organizations Modern Business Management Lotus NotesApplication and Administration Presentation skills etc. Mastering of several Languages (Arabic Mother Tongue FluentEnglish written and spoken preference also is German Language) Perfect Translation Skills
