Job Details

Manpower Planning & Budgeting 1. Plan for the manpower of the store for every year2. Employ the thumb rule/manpower norms for planning the manpower i.e. Projected Sales and Business Plan3. Projected manpower employment costs for a year4. Build a manpower plan on the basis of margins per person and Sq.ft. OccupancyRecruitment & Selection 1. Have a recruitment strategy at the beginning of every year2. Recruitment of staff at other levels basis the Manpower Plan.3. Identify and standardize on the tools for selection for people at different levels.4. Build a database for every position.5. Identification of consultants for different levels on a cost effective basis.6. Identify sources of free recruitment viz., NGO, Institutions etc and tie up with them.7. Drive Employee referral scheme.Joining Formalities & Induction Ensure joining formalities are done on the day of employee joining viz.,1. Issuance of Appointment order2. Filling of Application Blank and other statutory forms as per the norms.3. Personal File to be opened and all the relevant documents as mentioned in the checklist to be collected and maintained.4. Creation of employee code and updation of all requisite employees data in RAMCO.5. Issuance of Access/Swipe card and brief employee about its usage.6. Issuance of ID card7. Employee orientation/ Basic Induction to be conducted explaining the new employee about the policy & procedural guidelines etc., before deputation on the job.8. Internal communication to be sent to all concerned informing the joining of new employee.Uniforms & Badges 1. Ensure every employee is given uniforms as per the prescribed norms on the day of joining.2. Ensure employee is given badges and attendance swipe cards (Where applicable)Training 1. Co-ordinate with the Talent transformation team for conducting the learning activities at the store.Welfare1. Plan & Implement welfare programmes & activities for the staff as per the calendar.2. Enter into welfare tie-ups with various set-ups3. Drive LEAP. Launch Pad successfully.4. Ensure that the Long service awards are conferred to the employees on time as per the guidelines of the organisation.5. Ensure other recognition schemes are implemented / monitored regularly in the storeEmployee Satisfaction1. Maintain and upkeep on the employee Morale.2. ESS to be conducted once every year.Statutory 1. Every employee to be covered under all the prescribed statutory regulations.2. Ensure Store adheres to all the legal procedures.3. Ensure every employee has a leave record and the same is regularly updated in the leave records as well as in the HRMS/RAMCO.4. Ensure all the statutory returns/ remittances are regularly filed with the concerned authorities as per the timelines.5. Everyone is covered under PF & all eligible under ESIC.6. Liasioning with Govt. /Statutory departments.7. Ensure every employee gets his / her pay slip every month.Personal Files 1. Audit and upkeep of all personal files.2. The databases of all employees are available and complete in all respects HRIS.Monthly Report 1. Ensure monthly reports reaches BM/RO within the set timelines.Attendance , Payroll andSalary Advances/Loans 1. Ensure employees correct attendance details are uploaded in RAMCO on daily basis.**2. Documentation of all the payroll records within a given time-frame.3. Update the sales incentive data of eligible employees in RAMCO on a monthly basis. Simultaneously the report of the same has to be sent to the Payroll exe / Regional HR.4. Calculate, Update the OT payment in RAMCO.5. Calculate, Update Incentives and other payables in RAMCO.6. Update uniform deduction / uniform allowance in RAMCO.7. Update referral Bonus in RAMCO.8. Ensure 100% salary processing of all employees and deposit of salary in their respective corporate salary accounts.9. Regular update of rota schedule.10. Update Bank account numbers for salary disbursement and other related data.11. To maintain a register to track the salary advances / loans availed by the store employees and update the same in register and HRMS (RAMCO) as and when the same happens. At the end of the month the same needs to be reconciled with the report at RO from the payroll executive.12. Ensure that the uniform deductions are repaid to employees who complete one year of their service without fail. Discipline 1. Ensure any act of indiscipline is brought to the notice of the superiors.2. All of acts of indiscipline are punished with the frame work laid down with consultation of BM and Regional Head HR.Communication 1. Identify channels of non-formal communication within the store.2. Create new avenues for free flow of communication between employees.3. Suggestion Boxes4. Policies5. Formal Monthly Meetings - Store or otherwiseRewards and Recognition 1. Bring in a system of non monetary rewards on a role wise basis.2. Ensure all the rewards are communicated to the people.3. The rewards system should be consistent with the parameters being objective.4. Identify and institute different methods of recognizing exceptional performances, thoughts and ideas.Counseling 1. Perform the role of being the voice and ear of the peoplePerformance Management 1. Ensure that the KRAs of all employees are set at the beginning of the year in consultation with the CM/SM/BM and the copy of the same is duly acknowledged by the employee and the reporting manager and filed in the personal file.2. Ensure there exists a free and fair method of conducting performance appraisals.3. Ensure all the confirmations and annual appraisals are completed on time.4. All documents pertaining to evaluation/recommendations etc. should be duly filed in the respective employees personal file.5. Any changes effected post review had to be intimated to employee in writing, a copy of which has to be filed in the employee personal file for records. Simultaneously the same needs to be updated in HRMS/RAMCO.Other Ensure that the store is fully compliant with safety features for making it a danger/accident free zone. Exit Interview/Formalities 1. Ensure every employee who leaves the organisation does a proper handover of duties/assets etc.,2. Ensure resignation letters are collected from the employee with the acknowledgement of acceptance of the same from their reporting manager/CM/SM/BM.3. Ensure every employee who leaves the organisation completes the exit interview process.4. Ensure the employee separation is done in the HRMS/RAMCO immediately.5. Process for F & F settlement, if any.6. Undertake a turnover analysis once every month.Post Exit 1. Ensure every employee who leaves organisation is issued relieving/experience certificates accordingly.*2. Help ex-employees in documentation for PF withdrawal/Transfer.
