Key Responsibilities1)Responsible for all secretarial and administrative work pertaining to the department.2)Responsible Liaising with external stakeholders to plan and arrange meetings and preparing agendas for the meetings for Managing Counsel. 3)Assist and facilitate the organisation of Board meetings on a Quarterly basis and other committee meetings periodically.4)Assist the Managing Counsel and Company Secretary in all administrative functions like e-expenses clearance, travel and hotel and maintain their documents in an efficient manner.5)Preparation of new vendor approval forms and processing the same in a timely manner.6)Custodian of Legal Documents/Agreements. 7)Responsible for maintaining lists of all original documents/agreements in custody with Legal department.8)Ensuring Execution of all agreements cleared by Legal and follow up with concerned functions/departments for the same. Receipt of duly executed agreements to be kept in the safe with proper entries/record of the same.9)Maintaining and updating all Lists pertaining to Legal Department namelyLitigation Lists/List of Solicitors and Law firms engaged by Company Power of Attorney Register containing copies of the POA along with the document approval form. Professional Invoices list raised by service providers. Ensuring payments are made on timely basis. Filing the invoices systematically in the files.Inward/Outward Lists (Receiving and sorting mail/communications from within the company and external sources).10)Preparing and reporting the training particulars to BP and maintain attendance register for the department and sending the same to HR every month. 11)Arranging for stamping/notarisation of various documents to be filed in the courts/forums.12)Regular filing of papers and liaising with PN Writer Information for file retrievals and other administrative work pertaining to department.
