The Project Admin and Reporting analyst (PARA) will work in the IT Services Infrastructure Projects and Product Development (IPPD) organization supporting infrastructure projects and consultancies with the project request/change process, setting up the financial cost structures, creating project SharePoint areas and provide project reporting. The PARA team is supporting other PMOs (Shell infrastructure PMO and supplier PMOs) during the project initiation, setup and change process, reports on project progress, provides management information and ad hoc project delivery reports. With the outsourced model in IT infrastructure, the PARA team has to manage a critical relationship with their equivalent counterparts in the 3 supplier PMOs to ensure consistency of data, and to make the process of getting projects started as efficient as possible. IPPD is the main channel for requesting IT infrastructure projects therefore we are dealing with various Shell internal stakeholders/customers.Major Responsibilities includeEnsuring procedures are followed for the registration of infrastructure project requests; recording of project plans and progress; archiving key contractual documentation; and the creation of key information required for projects to start and to be billed.Providing the financial data stored in our finance systems.Developing a close working relationship with the supplier PMOs and PARA team members to ensure that the process for getting infrastructure projects delivered is as efficient as possible.Contribute to IPPD service quality improvements by helping to strengthening Supplier PMOs back office team.Ensuring we follow and adhere to agreed IPPD work/process standards and comply with Service Level Agreements.Provide guidance and support Supplier PMOs effectively while ensuring Infrastructure project delivery E2E process is followed.Ensure project folders are file with project related info by Supplier PMOs. Escalate as necessary when issue arise.Provide support to Supplier PMOs in ensuring the Project reporting tool is always updated with accurate info.Accurately updating all Project related Data in the Shell Project reporting tool based on proposal receivedQuality Assurance on all documents during project requests, changes and closure. Proactively taking lead to updates PARA handbook to make sure it is always evergreenOver 20 reports that need to be produced on monthly basis to Management.Requirements Skills and QualificationsMandatoryHighly analytical person3 5 years of total experienceGood communication skillsGood knowledge of Outlook, SharePoint, SAPAdvanced MS Excel skills including pivot tables, V look up and H lookup. Knowledge in MS Access and SQL would be an advantageFluent in English both in writing and speaking and demonstrating well developed communication skills.Strong stakeholder management and communication skills.Self-starter with good analysis and problem solving skills.PreferredKnowledge and some exposure to Infrastructure PMO ways of working would be an advantageExperience of working in a global virtual team environment.Proven experience in relationship management.Proven experience in vendor management.
