Scope In charge of coordinating administrative office affairs and managing the general services duties and staff of the Riyadh office Responsibilities Answers incoming telephone calls determines purpose of callers and forwards calls to appropriate personnel or department Takes and delivers messages or transfers calls to voice mail appropriately when personnel are unavailableAnswers questions about organization and provides callers with address directions and other information Welcomes on site visitors determines nature of business and announces visitors to appropriate personnelUpdates calendars appointmentsReceives sorts and routes mail fax publications etc Maintains a general filing system and file all correspondenceMaintains fax machines assists users sends faxes and retrieves and routes incoming faxes creates and prints fax cover sheets memos correspondence reports and other documents when necessaryPerforms other clerical duties as needed such as filing photocopying and collatingMaintains and updates contacts listResponsible for travel arrangements bookings car rental etc Ensures alignment with the travel policyAssists in the planning and preparation of meetings conferences and conference telephone callsMaintains an adequate inventory of office suppliesOffice cleaning and organizationDriver and car arrangementsOffice maintenance works A C electrical plumbing etc Relationships with external partiesHandle tackle day to day issues as they ariseQualifications and Skills Bachelor s degreeMinimum two 2 years of experienceMust be Saudi NationalProficient knowledge in office administrationGood understanding of relevant process and proceduresProblem solving and effective communication skillsProficient in Arabic and English written and speaking Computer literate
