Our client, a multi national financial services company is urgently seeking to recruit an experienced Receptionist reporting to the Director, Facilities Manager.Duties and ResponsibilitiesTo provide business operational support to the Departments within the CyberSource Office in Reading and day to day business as usual facilities support to ensure all Departments have the necessary support and working environment to undertake their roles support service to the Reading office and guidance to the Belfast Team. To provide Front of House support to the company's Middle East Office Client To support the business and Senior Business Leaders with key administration tasks and provide assistance to the Corporate Real Estate Team in providing a workplace to meet the changing needs of the DepartmentsThe business and Senior Business Leaders with support and guidance as necessary Principle ResponsibilitiesKey Results AreaFront of House Business Contact BrReception - Responsible and first point of contact for main switchboard calls and all Visitors to the receptionMeeting Rooms - Update calendars and meeting bookings as required - ensure rooms are clean and tidy and monitor for any issues with equipment or misuse of bookingDaily monitoring and top up of kitchen supplies - teacoffee etc., work with Facilities Co-ordinator to ensure any purchasing of stock is undertaken as necessary. Post and Couriers - Undertake all tasks necessary relating to both Incoming and Outgoing post to include all Royal Mail, DHL and express couriers.Facilities AssistanceMonitor iFAMS Service Requests coming onto the system and action any that are a specific business need - business cards Provide cover for Facilities Co-ordinator in times of any sickness or holiday absence. Maintain directories - telephone, car park, visitor badges Ensure Visitors are escorted at all times and checked in and out of the building as per procedures Take part any Fire Drills and be aware and action any HandS issues that are raised or that they come acrossFinance Business SupportProcess business invoices in line with procedures agreed with AP and escalateany non-payment as necessary. Process cheques, remittance advice notices, terminations and general correspondence to ensure it is scanned passed onto the relevant department in a timely manner. Monitor usage of Couriers and ensure Invoices reflect usageReview Invoices for stationary and consumables are in line with orders placedAction any iFAMS requests and contact requestor to update on progressUndertake Adhoc requests from the business - Invitation letters Key CompetenciesClear communication Good written and spoken English Self-directed and motivatedAbility to deal with both Internal and External Customers Suppliers

Requirements

Required Experience (education, skills - professionaltechnicalbusiness)Client Delivery focused. Self-starter and ability to use own initiative.Complete knowledge of MS Office packages (Word, Powerpoint, Outlook, Excel).Experience of working in small teamoffice environment, quick to learn and adapt to change. Excellent written, verbal communication and inter-personal skills.Excellent organisation skills with accuracy and attention to detail.
