Performs general administrative duties to support day-to-day department operations in such areas as telephone coverage, scheduling of meetings, travel arrangements, expense reporting, calendar management, taking and distributing meeting minutes, copying, screening mail, ordering supplies, and maintaining department records.\n\nMajor Accountabilities \n\nPerform general administrative duties to support day-to-day department operations in such areas as phone coverage; scheduling meetings; completing travel arrangements; expense reporting; maintaining management calendar; taking and distributing meeting minutes; generating copies; screening mail; filing; ordering supplies and maintaining department records.\nPrepare correspondence; memorandum; reports; presentations or other assigned documentation in specified software package.\nAssist in preparing and maintaining departmental budget. \nAdminister programs; projects or processes specific to the operating unit served; and maintains spreadsheets or databases to monitor departmental information. \nMay research special topics as assigned. \nServe as administrative liaison with others within and outside the company.\nDevelop and produce reports as assigned.\nMay monitor and coordinate work of other employees or temporaries.\n\nEducation \n\nCollege degree and a course/certification in Secretarial Practice\n\nKnowledge / Experience \n\nAdministrative experience in a corporate environment interfacing with senior and executive level management and senior customers. \n\nSkills/Competencies Required\n\nComputer Related\nIntermediate Level proficiency in use of Windows based PC, Utilities etc.\nAdvanced level proficiency in MicroSoft Word, PowerPoint and Outlook.\nIntermediate level proficiency in MicroSoft Excel\nIntermediate level proficiency in use of Internet Search and other Applications.\nAdvanced level proficiency in use of MC standard infrastructure such as McCentral, Workday, Oracle Financials, CWT site etc.\n\nOther Competencies\n\nProficient in understanding Airline schedules, time zones, travel sites, hotel facilities etc.\nAdvanced level capability in managing calendars of multiple executives, scheduling meetings in different time zones, conference calling etc.\nGood interpersonal skills and ability to get information from various resources.\nShould be able to work independently as an individual and maintain confidentiality and trust of the senior executives.\nListening Skills Should be a great listener and able to read between the lines and do what is expected and not just what he/she is told to do.\n\n\nOther Expectations\n\nAttendance and Punctuality Should be very disciplined about work timings and able to match these with the executives he/she is working with. Specifically should be at the desk by 9.30am and ready to start work for the day.\n\nAvailability During work hours (9.30a to 6.30p) should be available and approachable with quick response and be available after hours on phone/email for urgent situations.\n\nQuality of Work Should understand that the quality of his/her work reflects on the executive he/she is representing and there is no scope for making repeated mistakes. In general should be able to take pride in his/her work and be considered as reliable and dependable by all employees in the group and outside.\n\nControl Should be in control of the situation at most times and able to handle unexpected changes calmly.
Degree: CA (Chartered Accountant) | MBA/ PGDM

Additional Degree: B.Com. (Commerce)

Experience: 5-10
