The Facility Management function provides support to IKEA core business throughout the building life cycle; and to support sustainable business development to the lowest possible long-term cost.PURPOSE OF JOB To manage site-based facility management services to ensure a sustainable, safe, clean and functional environment for co-workers, visitors and customers of the store; and ensuring that the store is maintained to a common standard In Shape as New in order to promote and protect the IKEA brand and to ensure IKEA s position as the best home furnishing retailer in the local market. ASSIGNMENTCustomers Manage Site facility management services to ensure a sustainable, safe, clean and functional environment for co-workers, visitors and customers of the store.Maintain the store In Shape as New through the delivery of planned, corrective and operational maintenance services and project activities.Ensure all facility management services are delivered, and assets and buildings are maintained, in strict adherence with all applicable local regulations.Actively work towards an integration of property related tasks within the IKEA GOES RENEWABLE programme into daily FM business.Commercial Lead and manage team, and work with Line Manager and matrix partners, in order to drive sales growth and sustained, long-term profitability. Represent the store in the annual Property Commercial Review.People Provide an inspiring and motivating direction for co-workers and engage them fully in the tasks of becoming leaders in Life at Home and generating sales growth.Create an environment where the IKEA culture is strong and where the diversity of customers and co-workers is valued.Committed to the development of the team. Together developing individual Personal Development Plans to reflect their business and personal development needs, and support them in achieving these goals.Empower FM team by delegating responsibility to them to help them grow and develop, according to their individual ability and experience.Create an environment of trust by encouraging open, constructive, honest, two-way feedback with the team, matrix partners, and other colleagues.Set clear goals and expectations and to follow these up with team and matrix partners timely.Reward good performance and take action to improve poor performance and take responsibility for own development and look to line manager and matrix for support in improving my competencies.Actively promote the IKEA social and environmental commitment and work with the team to understand how, together, we can contribute to sustainability.Recruit, select, train, develop, coach and mentor facility management co-workers in accordance with the Human Resource Idea and enable the development of a potential successor.Assume responsibility for other tasks and projects as they occur.FinancialEnsure the Facility Management plan supports the achievement of the agreed site goals.Set goals based on the global agreed KPIs focusing on key measures. Constantly monitor performance against agreed goals, adapting and taking action accordingly.Ensure all Facility Management initiatives grow the business and support the sustainability of long-term profitability.Control costs by working in a lean, simple, cost-conscious way using good examples and encouraging FM team and colleagues to discover more effective ways of working.Manage, follow up and evaluate external service provider performance against contract terms, and provide feedback to the Country Facility Manager on supplier performance.Provide progress reporting on IKEA s environmental initiatives at the store in conjunction with The Country Facilities Manager.Create, implement and actively manage annual operational and budget plans to ensure that all aspects of the building and grounds (facilities, building structures, assets and systems) are maintained to agreed standards and within agreed costs and timeframes.Produce and distribute periodic reports on performance of facility management services against operational and budget plans, and when required participate in annual global facility management cost benchmarking.Assume responsibility for Energy Management according to IKEA directives.Ability to contribute to an environment where the IKEA culture is a strong and living reality that embraces the diversity of co-workers and customers.Eagerness and desire to understand the IKEA business and customer needs and influence improvement of the business PREVIOUS EXPERIENCE AND SKILLS Academic Degree/ Diploma - Professional qualification in Facilities Management preferredMinimum of 5 years experience in a multi- service facilities management organisation, preferably in high-volume retail sector.Project management expertise.Demonstrable experience managing operational budgets.Experience in sustainability and the environment from the perspective of facility management is essential.Experience in site-based contract negotiations with suppliers and contractors.Working knowledge of MS Office applications and Computer Aided Facility Management software system. CAPABILITY/SKILL Mechanical and technical knowledge, and practical experience, in all facility systems; including electrical and lighting, mechanical and HVAC, structural, site, building automation and energy management.High standard of written and verbal communication skills.Fluency in written and spoken local language.Ability to communicate effectively in English, both written and verbally.Strong interpersonal, analytical, problem-solving, and organisational skills.Strong decision-making skills with the ability to influence and actAbility to work in a self-directed environment to resolve problems and to complete complex tasks within deadlines and financial constraints.Ability to coach, develop and mediate within the function, to share knowledge and learn and collaborate with others.
