The Responsibilities JOB PURPOSEThe role holder will report to the Regional Workplace Manager, India and will play a key role in management of Workplace by providing expert advice to the business on all aspects of workspaces. Ensure affective delivery of services through third party suppliers.Specific ResponsibilitiesThe individual will work as part of a team and willSupport the local businesses by delivering and providing effective high value/optimum cost facilities management and related property servicesSupport Head of Workplace Services, India as a focal point for engaging other colleagues in specialist areas such as Projects, Logistics, Health & Safety Environment etc working as support / liaison to these colleagues to achieve successful delivery of Property servicesProvision of professional advice on issues such as operational risk, Health & Safety etc and the implementation of related procedures to meet Group standards and local legislationTo work as part of a team in conjunction with wider Corporate Services team to deliver continuous improvement and quality improvement activitiesDevelop and maintain strong and effective working relationships with Business partners, colleagues and key service providersDevelop understanding and knowledge of Group Businesses to ensure that the appropriate facilities management strategy and operating requirements are implemented effectively in the existing and any future propertiesBuild a credible image with senior management and all building users.Provide advice, guidance and appropriate support to RBS Businesses in the management of the Workplace environment including (in close liaison with Business focal points) the following areas-Participation in periodic meetings with Business focal points.Identification of facilities management issues and implementation of effective solutions in a timely manner.Develop optimum and cost effective routine planned maintenance including local management of suppliers to ensure uninterrupted occupancy of buildingManagement of consultants, contractors and other services providers and suppliersTesting, commissioning and handover stages of installation and repair works.Review of Office layouts and liaison with IT as necessary.Audit of records of maintenance operations and service installations as required by statute/best practice and to ensure quality standards are met.Management of operational risk & undertaking of regular status reporting including escalation of Incident Reporting.Implementing and managing Facilities Management Strategy, Facilities procurement strategies, including Group Environmental Policy.Strong supplier management, including working with the Senior Property Manager to develop and implement performance measures with ongoing monitoring.Flexible support to cover varying needs of supplying office management services. This may include general administrative support.Financial ManagementEnsure adherence to RBS Group expenses policyEffective management of delegated discretionary limit and any associated budgets.Control and monitor the Property Managed Costs and Budget for the region. Provide regular financial and status updates including appropriate escalation of incident reportingEnsuring adherence to Bank policies and procedures concerning financial authority levels, payment response times and all relevant audit measuresRisk ManagementAwareness of risk management principles and methodology.People ManagementThe role holder will have direct people management responsibilities and will also have to engage with a wider outsourced team of Integrated Facility Management Supplier.The Requirements Experience of influencing at senior levels within organisationExperience working across business areas and Divisional boundariesStrong written and verbal communication skills with the ability to engage with senior stakeholders/ business leadersAbility to adapt to changing working environmentAbility to balance commercial requirements with control agendaManagement of SuppliersMinimum 10 years work experience in related areasExperience in Facilities Management in an office environmentProvide call-out cover as required to maintain business continuity.Flexibility to meet business needs, occasional out of normal hours working might be required.People Management - Good team working and strong Customer relationship skills Understanding of Mechanical & Electrical (M&E) installations and Health & Safety requirements under local law.Customer service experience gained in a Facilities Management, building services or a technical environment.A specialist knowledge in Facilities Management / Building Services.A good basic knowledge of facilities hard and soft services, with emphasis on M&E services.Risk ManagementBudget Management
Additional Degree: BA (Arts) | B.Com. (Commerce) | B.Pharm. (Pharmacy) | B.Plan. (Planning) | B.Sc. (Science) | BBA/ BBM/ BBS | BCA (Computer Application) | Diploma-Other Diploma | B.Ed. (Education) | BHM (Hotel Management)
